Below are a few of the most common reasons a room is unavailable when it should be:
Services:
"My start time and end time covered the length of my service, but my ability to check-in turned off early."
The window of availability to check in a child is determined by the lead time and lag time.
Lead time: The amount of time (in minutes) before the service start time that a child can be checked in.
Lag time: The amount of time (in minutes) after the start time of the service that a child can be checked in.
If you want to be able to check-in your children longer, extend your lag time.
In the diagram above, the lead time and lag time are both 30 minutes. This means if the service starts at 9 am, then check-in will be active at 8:30 am and will become unavailable 30 minutes after the service starts. (9:30 am)
"I have multiple services set up, but when we check our attendance reports, people we know attended the second service only are showing in the first service attendance records."
This situation is typically the result of the first service over-lapping the second. Two services can not be active on the same computer at the same time. If this is the case, the service that is activated first acts as the primary service, and will be the only service that people will be able to check in to until the very end of the service.
Resolution: Shorten the lag time of the first service so it will turn off at/before the lead time for the second service.
"I created a new service, and it shows as "Active", but I can't check anyone in"
If you are adding a new service to your Lambs List database, the rooms will not automatically be available for the new service.
Resolution: Edit the rooms that you wish to add to the new service. Click the "Select a Service" next to the "Add Room to Service" button. A list of all current services will dropdown. Click the service you would like to add this room to and click the "Add Room to Service" button. Click "Save Room" at the bottom of the screen, and you should now see this room available during the new service times.
You will need to edit each room you want to be available for that service and select the new service so the room will be available.
Rooms:
"I have set up a room to be active during a service, but the kids that are supposed to check into that room show "Not Available", and are not able to check-in"
This occurs when the children's profile information does not qualify into a room. Your rooms can be set up to use one of three different criteria deciding factors. Your rooms can be grade based, age-based, or development based.
Grade based rooms: These rooms will look at the grades that are set in each child's profile to determine if a child qualifies for a room. For example, in a grade based room that is specifically for 5th graders, you may have children that are 10-years-old as well as 11-year-olds in the same class. The grade needs to be set for each child within their personal profiles in Lambs List. If a child is not qualifying for the proper grade-based classroom, check the child's profile to ensure that the correct grade is specified.
Age-based rooms: These rooms will determine which children qualify based on the child's birthday that is set in their profile. If a child should be able to check into an age-based room and they are unable to do so, check the birthday in their profile.
Development based rooms: This room setting is mostly used within the younger classrooms. A church may want to separate the babies into two separate classrooms based on whether or not the child can walk. Another example of a development based room would be two separate classrooms based on whether or not the 2-3-year-olds are potty trained or not.
- If you want a class to be development based, the children that you'd like to be in this class must have the "dev lock" checkbox checked within their profile. A child with the "dev lock" setting can be checked into any class that is development based.
Please note: If you have a child with special needs, or a child that may need to be in a classroom that is not necessarily age-relevant, there is a checkbox named "special needs" that can be checked in the child's profile. This setting will allow the child to be checked into any classroom while keeping their information such as birthday and school grade accurate. This allows the child to attend the class that best serves their individual needs while keeping their information relevant within their profile.
